1. Scope and responsibility
This policy explains how Will Be There collects, uses, shares, stores and protects personal information when hosts use our platform and guests respond to invitations. We process personal information in accordance with applicable South African law, including POPIA. A host is responsible for having a lawful basis to upload or invite guests; Will Be There processes guest information to provide the host’s event service.
2. Information we collect
- Account and billing information, including name, email, contact details, plan and payment status.
- Event and guest information supplied by hosts, such as names, contact details, attendance, dietary needs, accessibility notes and seating information.
- Information submitted by guests through an RSVP form.
- Technical and usage data such as device, browser, IP address, timestamps, security events and feature interactions.
- Messages and support enquiries sent to us.
3. How we use information
We use information to create and secure accounts; deliver invitations and RSVP functionality; process payments; send requested confirmations and service messages; provide support; prevent fraud and abuse; maintain and improve the service; comply with law; and protect our rights and users.
4. Sharing and operators
We may share limited information with service providers that help us host the platform, process payments, deliver communications, monitor reliability or provide support. Payment card details are handled by the payment provider and are not stored by Will Be There. We do not sell personal information. We may disclose information where legally required or during a legitimate business reorganisation subject to appropriate safeguards.
5. International processing
Some service providers may process information outside South Africa. Where this occurs, we use contractual and technical safeguards intended to provide an appropriate level of protection.
6. Retention
We keep account, event and RSVP information only for as long as necessary to provide the service, meet contractual or legal obligations, resolve disputes and enforce agreements. Hosts can request deletion of an event or account, subject to records we must retain by law.
7. Your choices and rights
Subject to applicable law, you may request access to or correction or deletion of your personal information, object to certain processing, withdraw consent where processing relies on consent, or lodge a complaint with South Africa’s Information Regulator. Guests may also contact the event host directly about information collected for that event.
8. Cookies and local storage
We use essential browser storage for authentication, security, preferences and core platform operation. Optional analytics or marketing technologies, if introduced, will be described and managed through appropriate consent controls.
9. Children
The platform is not directed to children who create accounts. Hosts should not provide children’s information unless they have appropriate authority and it is necessary for the event.
10. Changes
We may update this policy and will publish the revised date. Material changes will be communicated where required.
